Privacy notice
What we collect when you visit our site, use the Website Finder, book a call or work with us, why we need it, who sees it and how to use your rights.
Who we are
LinnStudio is the trading name of Linn Studio Ltd, a company registered in Scotland (company no. SC900632), with its registered office at Office 1769, 3 Fitzroy Place, 1/1, Sauchiehall Street, Glasgow, G3 7RH.
We are the controller of the personal information described in this notice and are registered with the Information Commissioner’s Office (ICO) under registration number ZC234608.

What we collect
When you use the Website Finder
At start.linnstudio.co.uk we ask for your name, email address and, if you choose to give them, your phone number, business name and current website. We also collect your answers about your business, your customers, the site you need, your content, your domain and your timeline, and the plan and price the Website Finder recommends.
Your answers are saved in your browser as you go, and reach us once you’ve seen your result.
When you request launch pricing
Your name and email address, and if you choose to give them, your business name, current website, the plan you’re interested in and anything else you tell us. We use them to reply with your launch pricing.
When you book a kick-off call
Our booking calendar, which GoHighLevel runs for us, takes your name, email address, phone number, the time you choose and anything you add to your booking. The Website Finder fills in the details you’ve already given it. The calendar also keeps its own record of your visit, such as where it came from: see our cookie notice.
When you email us or talk to us
Your name, email address and anything you choose to tell us. We record our calls in Google Meet, which also writes a transcript and notes, so we can write your site from what you tell us, in your words. We tell you at the start of each call.
When you become a client
Contact and billing details, the proposal and plan you agree, payment records, the content you send for your site (text, photos, logos and testimonials) and the access details you share for your domain and connected tools. You pay through Stripe, our payment provider, so your card details go to Stripe, not to us.
When you visit our sites
Our hosting provider receives standard technical information with every request, such as your IP address, browser type and the page requested, to deliver the page and protect the site from abuse.
We also use analytics to see how our sites are used: the pages you visit, how far you scroll, what you click, how the pointer moves, how quickly pages load, and your device and browser type. By default this works without cookies, under an anonymous code that changes every day, and we can’t tell who you are from it.
If you accept analytics cookies, we can also recognise return visits, see your rough location (country and city, worked out from your IP address) and record how you use each page, including the options you pick in the Website Finder. Anything you type is hidden before the recording leaves your browser. We don’t use advertising cookies. See our cookie notice for what is stored in your browser and how to change your choice.
How we use it
UK data protection law requires a lawful basis for each use of your information. Ours are:

We don’t send marketing emails or newsletters, and we never sell your information.
The Website Finder recommends a plan automatically from your answers. It is an estimate only: a person reviews every submission, and the final scope and price are agreed with you on our call. It also tells you, from your answers, when neither plan suits what you need, and then doesn’t offer a call. That isn’t a final decision: a person reads those answers too, and you can always contact us.
International transfers
Some of our providers store or process information outside the UK, mainly in the United States and the European Economic Area. Where they do, the transfer is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework) or by the ICO’s International Data Transfer Agreement or Addendum.
How long we keep it
- Website Finder answers, bookings, call recordings and enquiries that don’t lead to a project: 12 months from our last contact, then deleted.
- Client project records, including proposals, content, correspondence, and the recordings, transcripts and notes of our calls: for as long as we work together, then six years.
- Invoices and payment records: six years from the end of the financial year they relate to, as UK tax law requires.
- Answers saved in your browser: until you book your call or press Start over, or clear your browser data. They reach us once you’ve seen your result. Before then, only a recording of your visit, if you accepted analytics cookies, shows the options you picked.
- Analytics: up to 12 months. Recordings of visits: up to 30 days. What the booking calendar keeps in your browser is listed in our cookie notice.
- Hosting logs: kept by Cloudflare for a short period under its own retention policy.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that’s wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use it, or object to our use of it
- ask for your information in a format you can move to another provider
- withdraw your consent to analytics cookies at any time, under Cookie settings at the bottom of any page
Email hello@linnstudio.co.uk to use any of these rights. It’s free, and we’ll respond within one month. Some rights have limits: for example, we must keep invoices for as long as the law requires.
Keeping it secure
Our sites are served only over encrypted connections. Access to client information is limited to the people who need it for your project, and we delete access details you share with us once the job that needed them is done.

If you’re unhappy with how we’ve handled your information, please tell us first at hello@linnstudio.co.uk so we can put it right.

Changes to this notice
We’ll update this notice when the way we use information changes, and change the date at the top. If a change affects you as a client, we’ll tell you by email.
